Behind the Signature: Why Details Matter in Real Estate Documents

Buying or selling a home comes with a lot of paperwork — and when you’re sitting at a closing table, some of those documents can feel like they’re written in another language.

As a Mobile Notary Public and Certified Signing Agent, I spend a great deal of time helping signers navigate the signing process — making sure documents are properly executed, signatures are placed where required, and notarizations are completed correctly.

But real estate is also familiar territory for me from another perspective.

In addition to owning Mendoza Coastal Notary, I’m also a REALTOR® and GRI — Graduate, REALTOR® Institute designee. That additional real estate education and experience has given me an even greater appreciation for just how important the details are throughout a transaction.

A Signature Is Never “Just a Signature”

Real estate packages can contain dozens — sometimes well over a hundred — pages.

Depending on the transaction, signers may encounter documents such as:

• Deeds

• Mortgages

• Affidavits

• Closing disclosures

• Loan documents

• Seller documents

• Powers of attorney

• Homestead-related documents

• Various acknowledgments and certifications

Not every document requires notarization, but those that do must be completed correctly.

That’s where experience matters.

Two Different Roles — One Appreciation for the Details

Being involved in both the real estate and notary worlds has taught me something very important:

The little things matter.

A missing signature, an incomplete notarization, an incorrect name, or a document returned improperly can create delays that nobody wants — especially when buyers, sellers, lenders, title companies and agents are all working toward the same closing date.

When I’m serving as the notary or signing agent, that is the hat I wear. I don’t negotiate the transaction or provide legal advice. My responsibility is to professionally guide the signing process within the scope of my role as a Florida Notary Public.

But having a background in real estate helps me understand the bigger picture — and why getting the details right matters so much.

Experience Creates Confidence

Whether I’m meeting a seller at their kitchen table, assisting with a loan signing, notarizing an estate planning document, or helping a local resident with a general notary request, my goal is the same:

Make the process professional, convenient and as stress-free as possible.

Because behind every document is a person trying to accomplish something important.

And that deserves more than simply pointing to a signature line.
